Committee Descriptions
RESPONSIBILITIES AND DUITIES:
- Distribute ad-hoc emails to the membership list (voting surveys, chapter initiatives, etc.).
- Create artwork/graphic for each specific event, spotlight, holiday, or initiative.
- Weekly Event Registration updates to the Planning Committee and Officers.
- Submit website update request forms for the HFMA (Chapter specific) website.
- Collect headshots and testimonials for Certification and/or Volunteer Spotlights.
- Post Certification and/or Volunteer Spotlights on LinkedIn.
- Posting Event Campaign (including Speaker Spotlights) on LinkedIn.
- Post Holidays, Birthdays, or ad-hoc requests on LinkedIn.
- Reply to comments on posts to increase engagement.
- Post Regional and multi-Chapter events on LinkedIn.
RESPONSIBILITIES AND DUTIES:
- Development of eligibility requirements & application process for a student scholarship program.
- Creation of marketing materials for chapter membership fee scholarships.
- Coordinate with treasurer for tracking of student scholarship funds spent and remaining.
- Day of Events: Speaker Introductions at in-person conferences as needed.
- Coordination of a fundraiser(s) to support student scholarship program.
- Network with other Early Careerists in chapters throughout the region & chapter to build connections and brainstorm new ideas for chapter engagement.
- Establish contacts with local programs and complete outreach to inform them of benefits of HFMA and recruit other volunteers & student members.
- Organize networking event(s) for early careerists.
- Pair early careerist mentees with chapter leadership mentors.
- Coordinate with the member engagement committee to create an internship bank that identifies hospital contacts for internship opportunities.
- Identify partnership opportunities for membership growth (i.e. ACHE).
- Coordinate & participate in monthly early careerist committee meetings.
RESPONSIBILITIES AND DUTIES:
- Pull new members list monthly and send welcome emails to get them oriented with the chapter, including ways to communicate and get involved.
- Send emails to those whose membership expired.
- Send emails to existing members to inform them of volunteer opportunities.
- Send annual chapter survey to enterprise members.
- Coordinate annual provider education roadshow, certification bootcamps, etc. for interested enterprise provider groups.
- Maintain enterprise provider roster and accuracy.
- Increase certifications via friendly enterprise provider competitions/contests.
- Coordinate with the communications committee for enterprise newsletters.
- Celebrate new certification achievements.
RESPONSIBILITIES AND DUTIES:
- Venue selection (research, outreach, contract execution).
- Cvent creation & website updates.
- Coordinate AV & tech for events.
- Name tag printing.
- Tabletop needs for activities: pens, paper, sticky notes, QR codes, etc.
- Research and identify community benefits to sponsor for each event.
- Gift basket setup for WIL event.
- Assembly of attendee gifts.
- Ordering of gifts.
- Coordinate with marketing contact, programming, and sponsorship for creation of day of slide show.
- Food & drink selection.
- Networking event planning (drinks, appetizers, tickets, etc.).
- Sending of what to know emails.
- Create/coordinate break music.
- Setup tables for activities.
- Breakdown the day of event.
- Play slide show during breaks.
- Make relevant announcements for charity organization and gift baskets.
- Attendee gift distribution.
- Coordinate volunteers for registration desk check in.
- Print registration check in list.
- Assist with day of AV needs.
- Provide post event survey feedback to chairs and officers.
RESPONSIBILITIES AND DUTIES:
- Coordinate with planning for event theme.
- Volunteer to assist with planning a speaker line-up.
- Assist with contacting speakers and working with them during the planning of the event.
- Obtain bios, presentations and headshots for event.
- Help prepare questions for panel discussions.
- Write Speaker Spotlights for our social media posts (About 5 Volunteers).
- Coordinate with speakers to ensure that their presentations are loaded on the laptop.
- Introduce speakers – Mostly done by sponsors, but sometimes we have exceptions.
- Prepare “Thank you” notes and gift cards, if applicable, for our speakers.
- Assist planning with setting up table seating for attendees (books, center pieces, swag, etc.).
- Identify volunteers to work registration table (3).
- Door greeter – to direct people to speaking room, restrooms, coat rack, etc. (1 Volunteer).
- Coordinate with communications chair to post speaker presentations on the website.
RESPONSIBILITIES AND DUTIES:
- Complete annual sponsorship campaign and track outstanding payments.
- Follow up/phone calls to those previous Sponsors who don’t respond within (x) days of Sponsorship opening/prospectus being communicated.
- Identify sponsors who are interested in speaking/presenting at events, along with topics and hand off to programming team.
- Obtain photo of business partner/executive contact along with a brief summary of what each company/vendor offers.
- Collect sponsor logos for SWO chapter website & handoff to the communications committee.
- Track benefits available vs. benefits used.
- Create annual signage with sponsor logos.
- Create Discount Codes for Corporate Sponsors using Template and share w/ the communications committee.
- Email qualifying sponsors pre & post attendee list.
- Communicate event discount codes to sponsors prior to each event.
- Coordinate with the planning committee for event specific sponsorships.
- Communicate details of sponsorship registrations with HQ for Cvent build and link creation.
- Coordinate speaker introductions with qualifying sponsors.
- Create sponsor event specific signage as needed.
- Coordinate with the planning committee to ensure sponsor logos are included in digital signage.
